Job Summary

The Office Assistant is responsible for the primary co-ordination and maintenance of the Office area and file handling. The office assistant ensures the workspace is clean, organized and presentable for office operations, employees and visitors, while also contributing to smooth office operations via administrative support services.

  • Minimum Qualification: Degree

Job Description/Requirements

Responsibilities:
  • Perform General Office Clerk duties and errands, including purchasing office supplies, banking tasks, mail and parcel deliveries, and any other related duties as required.
  • Coordinate with vendors and suppliers for prompt deliveries of office material or other operational equipment.
  • Handle General administrative tasks – file handling, documentation, recording and reporting, client and staff management and other related duties as required.
  • Schedule staff and client appointments, travel and logistics arrangements as required.
  • Sort & distribute incoming mails, parcels, and correspondence to the appropriate party for action or storage.
  • Maintain office supplies and inventories. Restock and reorder as required
  • Handle Client Reception and Office Visits. Set up and organize meetings as required
  • Collaborate with colleagues and other staff to ensure effective office operations – Provide general administrative Support to all members of staff.
  • Contribute to positive and professional office environment by demonstrating excellent communication and interpersonal skills.
  • Assist with coordinating catering preparations for meetings and events
  • General Maintenance of the office area: including Regular Sweeping, cleaning and dusting of the common areas, restrooms, furniture and equipment, removal of waste and reporting maintenance issues or repairs as required.
  • Assist in other duties as required


Requirements
:

  • Proven experience as an executive secretary or similar administrative role
  • Proficient in MS Office and “back-office” software
  • In-depth knowledge of office management and basic accounting procedures, as well as the technical vocabulary of relevant industry
  • Excellent organizational and time-management skills
  • Outstanding communication and negotiation abilities
  • Integrity and confidentiality
