Position Overview
We are seeking a highly organised and detail-oriented Scheduling & Rostering Officer to manage tutor scheduling and workforce rostering for a global online tutoring company. This role is responsible for ensuring that classes are staffed with appropriately qualified tutors while maintaining efficient schedules that meet student demand across multiple countries and time zones.
The successful candidate will balance operational efficiency with excellent customer service, working closely with tutors, education teams, and HR staff to deliver a seamless learning experience for students worldwide.
Key Responsibilities
Scheduling & Rostering
- Develop and maintain tutor rosters to ensure all scheduled classes are appropriately staffed.
- Allocate tutors to classes based on subject expertise, qualifications, availability, language requirements, and student needs.
- Manage scheduling across multiple countries and time zones.
- Monitor tutor utilisation and class coverage to maximise operational efficiency.
- Adjust rosters in response to enrolment changes, tutor availability, cancellations, and unexpected absences.
- Coordinate emergency cover arrangements to minimise class disruptions.
- Plan schedules for recurring classes, seasonal demand, and new program launches.
Operational Coordination
- Collaborate with Academic, Student Success, Recruitment, and Operations teams to forecast staffing requirements.
- Maintain accurate scheduling records within the company's scheduling and learning management systems.
- Monitor tutor attendance and identify recurring scheduling issues.
- Prepare regular reports on staffing levels, tutor utilisation, schedule adherence, and operational performance.
- Recommend improvements to scheduling processes and workflows.
Skills & Experience
- Experience in scheduling, rostering, workforce planning, operations coordination, or resource allocation.
- Exceptional organisational and time management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple competing priorities in a fast-paced environment.
- Experience working with scheduling, workforce management, CRM, or learning management systems.
- Excellent written and verbal communication skills.
- Strong analytical and problem-solving abilities.
- Intermediate to advanced Microsoft Excel or Google Sheets skills.
- Ability to work independently while collaborating effectively within a team.
