About The Role
We are a growing behavioral health private practice seeking a detail-oriented and proactive Human Resources Assistant to support our expansion. This is a part-time, remote, independent contractor position open to international candidates. The HR Assistant will play a key role in scaling our team by managing the onboarding of new therapists, building standard operating procedures (SOPs) for new systems, developing training materials, supporting staff meetings, and helping ensure our practice operates in compliance with HIPAA and other healthcare regulations.
Key Responsibilities
Onboarding & Recruitment
- Coordinate and manage the end-to-end onboarding process for newly hired therapists and clinical staff.
- Conduct initial and follow-up interviews with candidates; coordinate scheduling with hiring managers.
- Prepare and distribute offer letters, contractor agreements, and onboarding paperwork.
- Track onboarding progress and ensure all required credentialing and documentation is complete.
- Create, document, and maintain SOPs for new HR and administrative systems as the practice grows.
- Partner with practice leadership to identify process gaps and translate them into clear, repeatable procedures.
- Keep SOP documentation organized, version-controlled, and accessible to staff.
- Develop training manuals and onboarding guides in English for new hires and existing staff.
- Update training materials as policies, tools, or workflows change.
- Support the rollout of new training programs and track staff completion.
- Schedule, prepare agendas for, and help facilitate regular staff meetings.
- Take and distribute meeting notes and action items.
- Serve as a point of contact for staff questions related to HR policies and procedures.
- Maintain a working understanding of HIPAA requirements as they apply to HR and administrative processes.
- Help ensure HR documentation, communications, and file-handling practices align with healthcare privacy standards.
- Stay current on relevant private-practice healthcare policies and flag compliance risks to leadership.
- 5+ years of experience in an HR, recruiting, or administrative support role (healthcare setting preferred).
- Strong written and verbal English communication skills. Must speak and write in very good English.
- Demonstrated ability to write clear SOPs and training documentation.
- Familiarity with, or willingness to quickly learn, HIPAA and healthcare privacy requirements.
- Experience conducting interviews or supporting a hiring process.
- Highly organized, self-directed, and comfortable working independently across time zones.
- Reliable internet connection and a professional remote work setup. Must own your own secure VPN.
- Prior experience supporting a behavioral health, mental health, or medical private practice.
- Experience with HR or practice-management software (e.g., HRIS, EHR/EMR platforms).
- Background in instructional design or training material development.
- Position type: Part-time, independent contractor (1099/international contractor agreement)
- Hours: between 10 to 15 hours per week on average
- Location: Fully remote; open to international candidates
- Schedule: business hours are from 10:30 am EST until 7:30 pm EST, but this position can work outside of normal business hours on occasion.
- Compensation: $4.50/hour
- Reports to: Practice Owner and Clinical Director
