The HR Assistant supports the effective delivery of human resources operations by coordinating recruitment, onboarding and offboarding activities, maintaining accurate employee records, supporting payroll administration, tracking attendance and leave, and assisting with employee engagement initiatives. The role serves as a key point of contact for staff welfare and HR-related inquiries, facilitates internal HR communications, and provides administrative support across talent management, performance management, benefits administration, and compliance activities. The position requires strong organizational skills, attention to detail, confidentiality, and a commitment to delivering excellent employee service while upholding ECOM's values and HR standards.

Key Responsibilities

  • Contribute to training, talent development, and performance management initiatives.
  • Support recruitment and talent acquisition functions. For instance, scheduling interviews, communicating/following up with applicants, scoring, collating, and reporting interview and screening evaluations.
  • Assist in Onboarding and Offboarding activities. Joiners and leavers administration - ensures new staff receive their welcome pack, and leavers are offboarded from the company's benefits such as HMO, GLI, etc.
  • Maintain updated records of permanent, outsourced staff, and other 3rd-party security operatives, and FTCs, including entries and exits.
  • Act as a trusted advisor and business partner to staff on employment and welfare-related matters.
  • Assist with coordinating staff events and engagement initiatives such as townhalls, anniversaries, gift sharing, long-service recognitions, etc.
  • Assist with tracking and consolidation of staff attendance (including absence and approved leaves) from locations.
  • Conduct periodic and surprise roll-calls to ensure workers are present and working when expected.
  • Maintain accurate and timely pay information such as salary reviews, IOUs, loans, overtime, etc. for approval and payroll processing.
  • Provide timely support in terms of resolution of issues such as HRIS/ETMS access, benefit access (such as HMO), etc.
  • Support the dissemination of relevant information (e.g., Joiner and Leaver, Holiday Notifications, Internal Memos, etc.) to staff via communication channels such as Emails.
  • Assist in immigration and expatriate-related functions.
  • Any other job-related duties assigned.

Required Education, Experience, Skills, And Knowledge

  • Education: Minimum of a Bachelor's Degree (B.Sc.) or HND in Human Resource Management, Industrial Relations, Psychology, Sociology, Business Administration, or related social and management sciences
  • Professional Membership: Student or associate membership with the Chartered Institute of Personnel Management of Nigeria (CIPM) is an added advantage
  • Experience: 1 to 3 years of HR experience. Additional experience in administrative functions is an added advantage
  • Confidentiality: Ability to handle confidential information with discretion
  • Local Knowledge: Basic understanding of Nigerian labor laws
  • Communication: Good verbal, written, and interpersonal communication skills when engaging internal and external stakeholders.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). Use of HR and Payroll Systems (such as Sage 300 and SAP SuccessFactors) is an added advantage
