About The Role

The Programmes Coordinator will play a critical role in designing, developing, and delivering exceptional programmes and experiences that enhance member engagement, satisfaction, and retention within a premium hospitality and private members' club environment.

The successful candidate will be responsible for curating impactful educational, business, networking, social, and lifestyle experiences that align with the organisation's brand positioning and membership strategy.

This role requires a highly organised, creative, and commercially aware professional with strong programme management capabilities, exceptional stakeholder management skills, and the ability to deliver world-class experiences for a discerning membership community.

Job Summary

The Programmes Coordinator will oversee the end-to-end planning, coordination, execution, and evaluation of programmes and member experiences.

The role involves developing engaging programme concepts, managing partnerships, coordinating speakers and facilitators, overseeing event logistics, tracking programme performance, and ensuring every experience delivers measurable value to members.

The ideal candidate will have proven experience managing programmes, events, communities, or member engagement initiatives within luxury hospitality, lifestyle, corporate events, professional networks, or related environments.

Key Responsibilities

1. Programme Strategy, Development & Planning

  • Conduct market research and member insights analysis to identify relevant programme themes, trends, and engagement opportunities.
  • Develop programme concepts aligned with organisational objectives, membership value proposition, and audience interests.
  • Define programme objectives, success metrics, timelines, and expected outcomes.
  • Create and manage an annual programme calendar covering:
    • Leadership sessions
    • Business roundtables
    • Workshops and masterclasses
    • Networking experiences
    • Speaker sessions
    • Social and lifestyle programmes
    • Educational and community-focused initiatives
  • Identify, evaluate, and coordinate suitable speakers, facilitators, trainers, and industry experts.
  • Support the development of signature programmes, partnerships, and sponsorship opportunities.
  • Collaborate with Brand Communications and creative teams to develop event messaging, promotional materials, and member communications.

2. Programme Execution & Event Management

  • Manage the complete lifecycle of programmes and events from concept development through execution and post-event evaluation.
  • Coordinate all programme logistics, including:
    • Venue preparation
    • Vendor coordination
    • Event schedules and timelines
    • Budget planning and tracking
    • Guest management
    • Catering and hospitality requirements
    • Technical and production support
  • Serve as the key point of contact for speakers, members, partners, vendors, and external stakeholders.
  • Ensure all programmes are executed to exceptional standards consistent with a luxury private members' club experience.
  • Monitor event delivery quality and identify opportunities for improvement.
  • Maintain accurate records of attendance, feedback, engagement levels, and programme outcomes.

3. Member Engagement & Relationship Management

  • Work closely with the Membership team to develop initiatives that improve member engagement, loyalty, and retention.
  • Build strong relationships with members, industry professionals, speakers, partners, and community stakeholders.
  • Gather member feedback and insights to continuously improve programme offerings.
  • Support initiatives that create meaningful connections, collaboration, and value within the membership community.
  • Represent the organisation at relevant networking events, conferences, and industry engagements.


4. Stakeholder, Partner & Vendor Management

  • Develop and maintain relationships with external partners, facilitators, speakers, brands, and service providers.
  • Coordinate partnership opportunities that enhance programme quality and member value.
  • Manage vendor relationships to ensure timely delivery and adherence to quality standards.
  • Negotiate and coordinate programme requirements while maintaining cost effectiveness.


5. Membership Operations Support & Administration

  • Support membership engagement activities and operational initiatives.
  • Manage programme registrations, RSVP processes, attendance tracking, and member enquiries.
  • Maintain programme documentation, reports, and performance records.
  • Develop structured processes, templates, and workflows to improve programme efficiency.
  • Document best practices and support continuous improvement of programme operations.

Required Qualifications & Experience

Education

  • Bachelor's Degree in Communications, Event Management, Business Administration, Hospitality Management, Marketing, or a related discipline.
  • Professional certifications in Event Management, Project Management, Hospitality, or Leadership Development will be an advantage.


Experience

The ideal candidate should possess:

  • 7–10 years' professional experience in programme management, events, hospitality, luxury lifestyle, membership services, community management, or related fields.
  • Proven experience managing premium events, programmes, or member engagement initiatives.
  • Experience coordinating multiple projects simultaneously with strong attention to detail.
  • Experience managing senior stakeholders, vendors, speakers, and external partners.
  • Strong understanding of luxury hospitality, experiential events, and customer/member experience.
