Job Overview

The Depot Stock Keeper will be responsible for the effective management and control of inventory at the assigned depot. The role involves receiving, storing, issuing, recording, and monitoring pharmaceutical products and other depot stock to ensure accurate stock records, proper storage conditions, minimum stock losses, and timely availability of products for sales and distribution.

The successful candidate will maintain accurate physical and system stock records, conduct regular stock counts and reconciliations, monitor product expiry dates and damaged/obsolete stock, and ensure compliance with the Company’s inventory control policies and procedures

Key Responsibilities

  • Receive all products delivered to the depot and verify quantities against approved delivery notes, transfer notes, and other relevant documents.
  • Inspect received products for quantity, batch numbers, expiry dates, packaging condition, and other relevant specifications before acceptance.
  • Maintain accurate and up-to-date stock records for all products received, issued, transferred, returned, damaged, expired, or otherwise adjusted.
  • Ensure proper arrangement and storage of products in accordance with the Company’s warehouse procedures and applicable pharmaceutical storage requirements.
  • Apply FEFO (First-Expiry, First-Out) and FIFO (First-In, First-Out) principles, as applicable, to minimize expiry and stock losses.
  • Issue products only against properly authorized sales orders, dispatch documents, transfer notes, or other approved documentation.
  • Ensure that all stock movements are accurately recorded in the ERP system and/or approved stock registers on a timely basis.
  • Conduct daily monitoring of stock movements and promptly identify and report discrepancies between physical stock and system records.
  • Conduct regular physical stock counts and participate in monthly, quarterly, and annual stock-taking exercises.
  • Reconcile physical stock balances with ERP/system balances and investigate and report all variances to the appropriate supervisor.
  • Monitor product expiry dates and prepare regular Near-Expiry Stock Reports for management attention and appropriate action.
  • Identify and segregate damaged, expired, obsolete, recalled, or quarantined products and ensure they are properly documented and handled in accordance with Company procedures.
  • Maintain proper documentation for all stock receipts, issues, transfers, returns, adjustments, and other inventory transactions.
  • Ensure that no stock leaves or enters the depot without proper authorization and supporting documentation.
  • Monitor stock levels and promptly report fast-moving, slow-moving, non-moving, and out-of-stock items to the Depot Manager.
  • Assist in investigating stock losses, shortages, overages, damages, and other inventory discrepancies.
  • Ensure that the depot is properly organized, clean, secure, and conducive to the safe storage of pharmaceutical products.
  • Support internal and external auditors, inventory control teams, and management during stock verification and audit exercises.
  • Ensure compliance with Company policies, inventory control procedures, and applicable regulatory requirements relating to pharmaceutical products.
  • Prepare daily, weekly, and monthly stock reports as required by Management.
  • Maintain confidentiality and proper custody of all inventory records and documents.
  • Perform any other stock, warehouse, or logistics-related duties assigned by Management.

Qualifications

Education

  • B.Sc., HND, or OND in Accounting, Supply Chain Management, Logistics, Business Administration, Purchasing & Supply, Economics, or any related discipline.
  • Professional certification in Supply Chain, Inventory Management, Logistics, or related field will be an added advantage.

Experience

  • Minimum of 2–3 years’ experience in stock keeping, warehouse operations, inventory control, or a related role.
  • Experience in the pharmaceutical, FMCG, or manufacturing industry is highly desirable.
  • Experience in depot/warehouse stock management and stock reconciliation is an advantage.
  • Hands-on experience with ERP systems such as SAP, Tally ERP, Sage, or similar systems will be an added advantage.

Skills And Competencies

  • Good knowledge of inventory and warehouse management principles.
  • Good understanding of stock reconciliation and inventory control procedures.
  • Knowledge of FIFO and FEFO inventory management principles.
  • Good understanding of pharmaceutical product storage and handling requirements.
  • Strong numerical and analytical skills.
  • High level of accuracy and attention to detail.
  • Good Microsoft Excel and ERP system skills.
  • Strong organizational and record-keeping skills.
  • Good communication and interpersonal skills.
  • Ability to identify and resolve stock discrepancies.
  • Ability to work independently and meet reporting deadlines.
  • Ability to work effectively under pressure with minimal supervision.

  • Must be detail-oriented and highly disciplined in handling company inventory.
  • Ability to work under pressure and meet strict operational deadlines.
  • Preferred age: 25–40 years.
