The Role
This is a new role at HFN Group. The Project Coordinator owns all digital
infrastructure underpinning a project: tracking systems, reporting systems, QC inspection tracking, project program, document register, etc. This person is the connective tissue between site activity and founder-level decision-making. They report day-to-day matters to the Construction PM and project progress and escalation flags to the CEO.
CORE RESPONSIBILITIES
1. Systems Ownership
• Own and maintain all HFN project reporting and tracking systems
• Ensure all entries are current within 24 hours of site activity
• Propose and implement system improvements proactively
2. Reporting & Controls
• Produce weekly reports
• Maintain live programme compliance dashboard: planned vs actual milestones
• Maintain Drawing and Submittal registers
• Track all NCRs, RFIs, and action items across contractors with hard due dates
• Manage document control: drawings register, specification versions, shop drawing approvals log
3. Meeting & Communication Support
• Prepare agenda and templates for weekly site meetings
• Distribute minutes within 24 hours; maintain live action log
• Maintain WhatsApp/communication protocol for contractor groups
• Prepare monthly project status summary for Founder review
4. QC & Inspection Coordination
• Schedule and log all inspections per HFN Schedule
• Ensure inspection sign-offs from design team are captured and filed
• Maintain defect tracker: open vs closed, responsible party, and resolution deadline
• Coordinate material approval submittals between contractors and design team
NON-NEGOTIABLE REQUIREMENTS
• Proficient in Project management and reporting systems: Notion, Monday.com
• 4+ years' experience in project coordination, project management, or construction
administration role
• Highly organized with strong written communication; produces clear, structured documents
without prompting
• Responsive and proactive: does not wait to be chased; anticipates what is needed before being
asked
• Degree in Project Management, Architecture, Engineering, Estate Management, or a related field
• Lagos-based or willing to relocate immediately
PREFERRED (NOT ESSENTIAL)
• Exposure to construction projects, property development, or real estate
• Familiarity with MEP systems, construction drawings, or site inspection processes
COMPENSATION & TERMS
Monthly Salary: NGN 500,000 - 800,000 Net
