Responsibilities:
Production & Order Management
- Oversee the full made-to-order production cycle — from order confirmation to delivery — ensuring every piece is on schedule
- Coordinate with tailors, pattern makers, fabric suppliers, and other vendors to keep production timelines on track.
- Track all active orders, flag delays early, and troubleshoot bottlenecks before they affect the client.
- Manage fabric, trim, and material inventory, including sourcing and reordering as needed.
- Conduct quality control checks at key stages to protect the brand's standard of craftsmanship.
- Design and implement clear SOPs (standard operating procedures) for production, order intake, client updates, and vendor management.
- Build and maintain a simple, reliable order-tracking system (spreadsheet, tool, or software) that gives the CEO full visibility at a glance.
- Identify gaps or inefficiencies in current workflows and propose practical fixes.
- Own the operations calendar — production timelines, delivery dates, fittings, and key deadlines.
- Support the client journey post-order — confirmations, timeline updates, fitting scheduling, and delivery coordination.
- Ensure clients receive timely, professional communication at every stage of their order.
- Handle order-related issues or concerns with a calm, solutions-first approach.
- Act as the day-to-day point of contact for tailors, artisans, and external vendors.
- Support the CEO in hiring, onboarding, and managing future operations or production staff as the team grows.
- Help set performance expectations and hold the production team accountable to timelines and quality.
- Track production costs, vendor payments, and material spend against budget.
- Provide the CEO with regular, simple reports on order status, production capacity, and operational bottlenecks
Prior experience in fashion operations, production management, atelier/studio management, or a similar hands-on operational role — ideally within made-to-order, bridal, couture, or luxury fashion.
Highly organized, detail-focused, and comfortable managing multiple orders and timelines at once.
Communicate clearly and confidently, whether with a tailor, a vendor, a client, or the CEO.
Resourceful and calm under pressure — production timelines slip, fabric shipments get delayed, and you know how to problem-solve without losing your head.
Comfortable being hands-on in the early stages of a growing business, including tasks that may fall outside a typical "manager" job description.
Solid understanding of garment construction, production timelines, and quality standards well enough to spot issues before they become problems.
